12. Google API Services and Email Access

We connect to a Google account belonging to the company ([email protected]) using Google API Services so that internal tools can read, search, and send emails on our behalf. This is used solely for legitimate business administration: tracking customer enquiries, replying to quote requests, sending invoices, filing receipts, and triaging supplier statements. The connection is authorised once via Google's OAuth 2.0 consent screen and can be revoked at any time from Google Account › Security › Third-party access.

The Google API scopes we request:

• gmail.readonly, to read inbox messages so we can identify customer enquiries and supplier invoices
• gmail.send, to send replies, quotes and invoices from our company address
• gmail.modify, to label, archive and triage emails (without permanent deletion)

What we do NOT do with Google data:

• We do not transfer Google user data to third parties
• We do not use Google user data for advertising
• We do not use Google user data to train any machine-learning model
• We do not retain Google user data beyond what is needed to operate the feature you are using

The use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

13. Photo and Video Quotes

If you send us photos or videos through our online quote page, this is how we handle them.

What we collect: your name, email, mobile number and the property address; whether the job is for a home or a business; the photos and videos you send (with their sound), including anything that shows in them, such as post or meter numbers; your answers; and booking and payment records.

Why: to price your job, decide whether we need to visit, book the survey and take the fee, warn you about any safety problem we see, and keep a record of what we quoted.

Our legal reasons: you've asked us for a quote, and later a survey (contract). If you're contacting us for a business, our legitimate interest in answering your business's request. For payment records, the law on tax records.

You don't have to send photos, but without them we'll usually need to visit before we can price the job.

Who else handles it: Anthropic (the AI that reads photos and still frames from videos; based in the US, covered by data protection terms with safeguards for transfers outside the UK; it doesn't train on your data and normally deletes it within 30 days); Google (our email); Cloudflare (secures the connection to our own server); our accountants and bank (payment records). We don't sell your data or use it for marketing.

The AI only suggests. A person checks every result before anything is sent to you, and no decision is made by the AI alone.

How long: photos, videos and voice recordings for 90 days after we send your quote or tell you we need to visit, unless the work goes ahead, when we keep the ones we need with the job records. Contact details and answers for up to 12 months if no work goes ahead. Payment records for as long as tax law requires.

Your rights: you can ask to see, correct or delete your data, limit how we use it, or get a copy to take elsewhere. We reply within one month.

Your right to object: where we rely on our legitimate interests, you can object, and we'll stop unless we have a strong reason to carry on.

Complaints: tell us first if you'd like us to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
